Terms of Service
These Terms of Service (the 'Terms') govern your access to and use of FieldTracer (the 'Service'), operated by EVH Consulting ('FieldTracer', 'we', 'us'). By creating an account, starting a trial, or using the Service, you agree to these Terms. If you do not agree, do not use the Service.
The Service
FieldTracer is a field-service operations platform offered in three tiers — Base Local, Base Hosted, and Connect. Available features, limits, and support depend on the tier you select. We may add, change, or remove features as the product evolves.
Accounts
You are responsible for the information you provide, for safeguarding your credentials, and for all activity under your account. Notify us promptly of any unauthorized use.
Trials and early access
FieldTracer offers a 21-day trial. Early-access features are provided as they are and may change or be withdrawn. We may contact early-access users about their experience.
Fees and billing
Paid plans are billed in advance on a recurring basis. Depending on your plan, charges may include a platform fee plus usage-based charges for AI, documents, and emails. Spend caps and a usage dashboard are available to help you control usage. Invoices are due on receipt. Accounts that remain unpaid may be suspended, and past-due balances may accrue interest as permitted by law.
AI usage
FieldTracer offers two ways to power AI features. Under bring-your-own-key (BYOK), you supply your own AI provider key and remain responsible for charges billed by that provider; we add an orchestration surcharge for routing, metering, dashboards, and spend caps. Under FieldTracer Private Cloud, we host inference on our own infrastructure. See the AI and Data Processing section below.
Your data
Data you enter into the Service remains yours. We process it to provide the Service as described in our Privacy Policy. You are responsible for ensuring you have the right to provide any data you load, including customer and personnel information.
Termination
You may stop using the Service at any time. We may suspend or terminate access for non-payment or violation of these Terms. On termination, you may export your data for a reasonable period, after which it may be deleted in line with our retention practices.
Disclaimers
The Service is provided on an 'as is' and 'as available' basis without warranties of any kind, whether express or implied, to the maximum extent permitted by law.
Limitation of liability
To the maximum extent permitted by law, FieldTracer will not be liable for indirect, incidental, special, or consequential damages, and our total liability for any claim is limited to the amounts you paid for the Service in the twelve months before the claim.
Changes to these Terms
We may update these Terms. Material changes will be posted here with a revised date. Continued use after changes take effect constitutes acceptance.
Governing law
These Terms are governed by the laws of the State of North Carolina, without regard to conflict-of-laws rules. Venue for any dispute lies in the state or federal courts located in Guilford County, North Carolina.
Privacy Policy
Your privacy matters. This Privacy Policy explains what we collect, how we use it, and your choices. It applies to the FieldTracer website and Service.
Information we collect
- Account and contact details you provide, such as name, email, company, and phone.
- Operational data you enter into the Service, such as customers, sites, units, routes, and work orders.
- Field and location data when you use routing and dispatch features.
- Usage and device data, including log data, IP address, and analytics about how the Service is used.
- Cookies and similar technologies, described in the Cookies section below.
AI provider keys (BYOK)
If you use bring-your-own-key, AI requests are routed through your provider key so we can meter usage and provide your dashboard and spend caps. We process token and request metadata for these purposes. We do not sell your data, and we do not use your operational data to train AI models.
Private Cloud
When you use FieldTracer Private Cloud, inference runs on infrastructure we control and your data does not leave that private environment.
How we use information
We use information to provide, secure, support, and improve the Service, to process transactions, to communicate with you, and to comply with legal obligations.
Sharing
We do not sell personal information. We may share information with service providers and affiliates who help us deliver the Service, and where required by law or to protect our rights and users.
Security and retention
We use reasonable technical and organizational measures to protect information and retain it only as long as needed for the purposes described or as required by law.
Your choices
You may request access to, correction of, or deletion of your personal information, subject to legal limits. Contact us using the details below.
Children
The Service is intended for business use and is not directed to individuals under 18.
Acceptable Use
You agree not to:
- Use the Service for any unlawful, harmful, or fraudulent purpose.
- Upload data you do not have the right to use, or that infringes the rights of others.
- Attempt to gain unauthorized access to the Service, other accounts, or our systems.
- Interfere with or disrupt the integrity or performance of the Service.
- Reverse engineer or resell the Service except as expressly permitted.
- Abuse AI features to generate unlawful, deceptive, or harmful content.
We may suspend access for conduct that violates this policy.
AI and Data Processing
FieldTracer gives you control over how AI is powered.
Bring your own key (BYOK)
You register your own Claude, OpenAI, or DeepSeek key and pay your provider directly. We route requests through your key to provide metering, a live usage dashboard, and hard spend caps, and we charge an orchestration surcharge for that layer.
FieldTracer Private Cloud
For privacy-sensitive teams, we run open models on our own GPU infrastructure. Your data never leaves our private hardware, and there is no external provider bill.
Routing and training
Where enabled, we may route individual tasks across available AI sources to balance cost and quality; you can configure this in your settings. We do not use your operational data to train foundation models.
Cookies
We use essential cookies to operate the website and Service, and limited analytics cookies to understand usage and improve performance. You can control cookies through your browser settings; disabling some cookies may affect functionality.
